About the Role
Our client is seeking an Administrative Officer to provide comprehensive administrative support and ensure the smooth operation of the organization. The ideal candidate will assist in managing daily tasks, coordinating meetings, maintaining records, and supporting communication efforts across various platforms.
Key Responsibilities
Administrative Support
- Manage incoming mail: sort, acknowledge, respond, or redirect as necessary.
- Answer telephone calls and transfer them to the appropriate Executive Council member.
- Organize Executive Council and Trustee meetings, including agenda preparation, minute-taking, and report distribution.
- Maintain a record of all non-members’ donations and ensure timely acknowledgment letters are sent.
- Track members’ monthly donations and follow up on outstanding payments in collaboration with the treasurer.
- Keep updated records of monthly donations to partner organizations and ensure timely disbursements.
- Assist in planning and executing events as directed by the Executive Council.
Communication & Social Media Management
- Collaborate with the secretary to develop and distribute the monthly newsletter.
- Manage and update accounts across social media platforms (Twitter, Instagram, Tumblr, Facebook, LinkedIn, YouTube, Google+, Pinterest, WhatsApp, etc.).
- Create and publish high-quality content across digital platforms.
- Support the Director of Public and Government Relations in monitoring online forums and posting updates.
- Assist in developing a social media strategy, ensuring consistency in messaging.
- Stay updated on social media trends and developments relevant to the organization's goals.
Stakeholder Engagement & Reporting
- Maintain relationships with donors, members, and key stakeholders.
- Prepare clear reports and maintain detailed records of administrative activities.
- Escalate issues or concerns to the Chairperson or relevant Executive Council members as needed.
- Perform additional duties as assigned by the Executive Council.
Requirements
- Bachelor’s Degree in any field.
- Prior experience in charity organizations and social media management is preferred.
- Proficiency in MS Office (Word, PowerPoint, Excel, Outlook).
- Strong computer literacy, including email, internet usage, and basic website maintenance.
- Excellent written and verbal communication skills with strong report-writing abilities.
- Strong organizational, planning, and problem-solving skills.
- Detail-oriented, proactive, and capable of managing multiple tasks effectively.
- Ability to build and maintain relationships with stakeholders.
- Passion for the mission and objectives of the organization.
